Workflow automation

Build a Zapier social media workflow that waits for approval

Zapier is a reasonable trigger when a form, a sheet, or a CMS should start a social draft. It is a poor idea when the Zap is allowed to publish the moment the sheet row appears. Put a person between the draft and the live account.

A Zap that prepares work instead of posting it

Use Zapier Webhooks or a Code step to call PostTempo only on a plan that includes API keys. Pro is the first of those plans. Send posts:write, not posts:publish, on the key stored in Zapier.

1. Trigger

Start from a new row, a form, or a CMS event. Give the row a stable id so a Zap replay does not create a second draft.

2. Draft

Map caption, account, and time into a post create call. Reject the Zap if the account id is missing.

3. Stop for review

Do not chain an immediate publish action. A person approves the draft in PostTempo. Agency and Scale can record that approval.

4. Read the result

A later Zap, or a person, checks queue status. A transport error is not the same as a published post.

Secrets and duplicates

Store the API key in Zapier's secret field, not in a sheet column. Do not log the key in Zap history that other teammates can export. If the trigger can fire twice, the create call needs a stable id your team can search before it inserts another post.

Where this differs from n8n

Choose Zapier when the team already lives in Zapier and the flow is a short sequence. Choose n8n when you need a self-hosted or more explicit branch before the approval. Both should call the same scheduler API and the same approval rule. Neither one is a substitute for the account connection inside PostTempo.

Frequently asked questions

Questions people ask before choosing

Can Zapier schedule social posts?

Zapier can call a scheduler API or a native app. For PostTempo, that means an API key on Pro, Agency, or Scale. The Zap should create a draft unless a person has already approved the copy.

Should the Zap publish immediately?

No, not for brand or client accounts. Keep posts:publish off the Zapier key and publish from an approved post.

Which PostTempo plan includes API keys?

Pro, Agency, and Scale. Free and Creator do not. Agency and Scale also include approval workflows.

What if Zapier sends the same row twice?

Search for the existing draft before you create another one. A replayed Zap is a duplicate post unless you guard it.
